Office Administrator and Executive Assistant to Managing Director

Job Summary:

We are looking for an Office Administrator and Executive Assistant to Managing Director who is highly organized, proactive, and able to multitask. This person will be responsible for managing the day-to-day operations of the office while providing administrative support to the CEO.

Key Responsibilities:

  • Handle general administrative tasks such as managing office supplies, scheduling meetings, and organizing documents.
  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling appointments, and coordinating travel arrangements.
  • Act as the point of contact between executives, employees, and external partners.
  • Prepare reports, presentations, and correspondence as required.
  • Organize company meetings and events.
  • Maintain office systems, including data management and filing.
  • Assist in managing company policies, procedures, and employee records.
  • Ensure smooth operations of the office, including maintaining a clean and organized work environment.
  • Handle sensitive and confidential information with discretion.
  • Manage the onboarding of new employees and support HR-related tasks.

Requirements:

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Proven experience as an Office Administrator, Executive Assistant, or in a similar role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and under pressure.
  • High level of discretion and professionalism.
  • Experience with HR administration is a plus.
